Terms and Conditions

Plain-language terms for booking and travelling with Leona Tours & Travel.

Last updated 26 September 2026

The short version

  • Asking is free. A quote commits neither of us.
  • Your booking is confirmed in writing once you accept the quote and pay the deposit.
  • Your quote sets the money terms: deposit, balance date and cancellation charges are stated on it.
  • Insure your trip, and check your entry documents before you fly.

1.Who we are and how these terms work

These terms apply to every booking made with Leona Tours & Travel (“Leona”, “we”, “us”), a travel and safari company based in Karen, Nairobi, Kenya. “You” means the person making the booking and everyone travelling on it.

Your written quote and booking confirmation form part of your agreement with us. If anything in them differs from these general terms, the quote or confirmation for your trip applies.

2.Quotes and bookings

Asking for a quote is free and does not commit either of us. A quote is a proposal based on the dates, group size and requests you gave us, and it stays valid for the period stated on it.

A booking is confirmed only when we send you a written booking confirmation, after you have accepted the quote and paid the deposit it states. Availability of accommodation, flights and permits is not held until then.

Please make sure the names on your booking match your passports exactly. Changing a name after flights or permits are issued may carry a charge.

3.Prices and payments

Prices are quoted in the currency shown on your quote, usually US dollars for non-resident travellers and Kenya shillings for Kenya-resident packages. Resident rates depend on your status, and we may ask for proof.

Your quote and booking confirmation state the deposit, the balance and the date the balance is due. If the balance is not received by that date, we may treat the booking as cancelled by you.

Some costs are set by third parties, such as park and conservancy fees, airline fares, taxes and levies. These can change, and the rates for a particular season may differ. If a third-party cost changes before you travel, we will tell you and explain any adjustment to your price.

Unless your quote says otherwise, prices do not include international flights, visas and eTA fees, travel insurance, vaccinations, personal items, optional activities or gratuities.

4.If you want to change your trip

Tell us as early as possible. We will try to accommodate changes to dates, accommodation or activities, but this depends on availability and the rules of each supplier. Changes may cost extra, and some bookings, such as gorilla permits and peak-season camps, cannot be changed once confirmed.

5.If you need to cancel

You must tell us in writing, by email or WhatsApp message to the contact details below. Cancellation charges depend on how close to your departure date you cancel and on the terms of the hotels, camps, airlines and permit authorities involved. The cancellation schedule for your trip is stated in your quote or booking confirmation.

Some costs are non-refundable once paid on your behalf, including permits and non-refundable flights. We will always pass on any refund we receive from a supplier, less what we have already paid or must pay to them.

This is why we recommend travel insurance that covers cancellation, as set out below.

6.If we need to change or cancel

Occasionally we must change a detail of your trip, for example because of weather, road or airstrip conditions, closures, a supplier’s change or events outside our control. We will tell you promptly and offer a suitable alternative of comparable standard where we can.

If we cancel your trip before departure for a reason other than your own breach of these terms, we will offer you an alternative or a refund of the money you paid us for the cancelled services.

7.Travel documents and health

You are responsible for holding a valid passport, the correct entry permission (for example a Kenya eTA or a Tanzanian visa), any transit documents and any health documents needed for your route. Entry rules change, so please check the official government sources before you travel. Our Tips page lists them.

You are responsible for checking your fitness to travel and for arranging vaccinations and medication with a qualified doctor. Please tell us in advance about any medical condition, dietary need or mobility need that could affect your trip, so we can plan appropriately.

If you are refused entry or unable to travel because your documents are incomplete, this is not a cancellation by us and no refund is due for services that go unused.

8.Travel insurance

We strongly recommend, and may require, comprehensive travel insurance covering trip cancellation, medical treatment, repatriation and emergency evacuation. Remote parks can be a long way from hospitals. Please arrange cover when you pay your deposit and keep the policy details with you.

9.Safari safety and conduct

Wildlife in Kenya, Tanzania and elsewhere is wild and unpredictable. Safaris and outdoor activities carry inherent risks, and you take part at your own risk. You agree to follow the instructions of your driver-guide, camp staff, park rangers and other guides at all times.

You agree to respect park and conservancy rules, including staying in the vehicle unless told otherwise, keeping a safe distance from animals, not feeding wildlife, and not using drones without the required permits. Kenya restricts plastic carrier bags and camouflage clothing.

We cannot guarantee sightings of any animal, migration movements or weather, and a lack of them is not a reason for a refund.

We may ask a person to leave a tour, without refund, if their behaviour endangers others, wildlife or the environment.

10.Our role and our responsibility

We organise your trip using independent suppliers, such as lodges, camps, airlines, drivers and park authorities. We take reasonable care in choosing them and in arranging what we have agreed to provide.

We are responsible for the proper performance of the services we agree to provide, subject to these terms. We are not responsible for acts or omissions of third parties that we could not reasonably have foreseen or avoided, or for loss or damage to luggage and personal belongings, which insurance should cover.

To the extent the law of Kenya allows, our liability to you for any claim is limited to the amount you paid us for the affected part of the trip. Nothing in these terms limits liability that cannot be limited by law, including liability for death or personal injury caused by our negligence, or for fraud.

11.Events beyond our control

We are not liable for a failure or delay caused by events outside our reasonable control, such as natural disasters, severe weather, epidemics, war, civil unrest, strikes, terrorism, government action, airspace or border closures, or airline and airstrip disruption. Where possible we will help you rearrange your trip or recover what we can from suppliers, but the costs that suppliers refuse to refund may pass to you. Insurance can help.

12.If something goes wrong

Please tell your guide or us immediately so we can fix the problem while you are still travelling. That is the fastest way to put things right. If you remain unhappy after your trip, write to us with your booking details and a description of the problem, and we will review it and reply.

13.Your personal data

We collect the details you give us, such as your name, contact details, passport information, dates of travel and any health or dietary needs, to plan and run your trip. We share only what is needed with the suppliers who provide your services, such as camps, airlines and permit authorities, and where the law requires it.

We handle personal data in line with the Data Protection Act, 2019 of Kenya. You can ask to see, correct or delete the personal data we hold about you by writing to us at the email below. We keep data only as long as we need it for your trip and for legal and accounting purposes.

14.Using this website

The text, photographs, logo and design on this website belong to Leona Tours & Travel or are used with permission. Please do not copy or reuse them without our written consent. We take care that the information on the site is accurate, but itineraries, prices and availability can change, and your written quote is what applies. Links to other websites are provided for convenience, and we are not responsible for their content.

15.Governing law and changes to these terms

These terms are governed by the laws of Kenya, and the courts of Kenya have jurisdiction over any dispute, unless the law says otherwise. We would always prefer to resolve a concern with you directly first.

We may update these terms from time to time. The version in force when you booked applies to your booking. This version was last updated on 26 September 2026.
